Basic Function:
Oversees daily operations of the department, coordinating various administrative functions to include hiring, evaluating and supervision of personnel; campus and NCAA compliance; budget management; sport oversight; diversity, equity and inclusion initiatives; student athlete welfare issues and initiative; academic success; evaluating systems and procedures; fundraising; game management; promoting events; coordinating schedules; securing and approving travel; representing the department on committees and at various events; and supporting a team philosophy in the department. Position is partially funded through an NCAA Strategic Alliance Grant intended to enhance mid-to senior level intercollegiate ethnic minority and gender representation.


Representative Duties:
Implement programming that assists the improvement of departmental culture, with emphasis on initiatives that support diversity, equity and inclusion E
Coordinate Space and Facilities Management E
Manage Equipment Inventory E
Evaluate Department Systems and Procedures E
Conduct and oversee game management. Direct all aspects of game management for home contests, events, tournaments and championships E
Coordinate sport program scheduling
Manage travel approval and planning
Administer Hiring Initiatives
Assist in the coordination and implementation of department operations E
Supervisory role in respect to coaches secondary responsibilities E
Contribute ideas for department policy and procedures to enhance operational efficiencies E
Coordinate sport officials evaluations and scheduling E
Provide Fundraising Operational Support E
Coordinate and serve as the chair for post-season events, including budget reimbursements and event management E
Work with student-athletes, coaches and administrators on continuous improvement initiatives for championship events E
Manage Cal Lutheran student awards program (includes ordering, designing, distributing and presenting plaques and certificates) prior to and during student recognition events E
Student Success, Diversity and Inclusion
Develop Student Welfare Programs and Initiatives E
Monitor Athlete Academic Progress E
Development and implement a Diversity and Inclusion programming and education E
Engage with a cross-section of constituencies on campus, in the conference and in the community to discuss and research ways that the Cal Lutheran athletic department staff and student athletes can work closely together to create actionable steps to help the department become more inclusive, equitable and diverse in practice E
Recommend resources necessary to support DEI programming goals. E
Compliance and Governance
Provide oversight and enforcement of athlete eligibility, compliance rules education, and legislation E
Conduct compliance and eligibility oversight for the department E
Develop monthly educational compliance communications for athletics staff and campus constituents E

Other duties as assigned


Knowledge Of:
NCAA and SCIAC philosophy, rules, regulations regarding eligibility, recruiting, financial aid, sport playing seasons, etc.
Issues concerning risk management.
Sound accounting/budgeting principles.
Fundraising Management
General knowledge of all areas related to intercollegiate (and recreational) athletics.
The intricate dynamics, political and otherwise, between all constituencies involved with an institution of higher learning and its athletics programs, internally and externally.
Strong oral and written communication skills
Microsoft Office Suite including Word, Excel and PowerPoint
FERPA laws and regulations


Ability To:
Coordinate and administer all aspects of a comprehensive senior intercollegiate athletics program
Process and manage budgeting responsibly, realistically, on target, on time and follow all appropriate procedures
Understand, accurately interpret and apply conference and institutional rules and regulations
Make decisions skillfully including creative resourcefulness, common sense, sensitivity, a global perspective and timeliness
Interact well with supervisors advising on activities, acting independently when appropriate and beneficial, and recommending ideas for problem solving
Submit information requested from a wide variety of constituencies accurately and on time
Employ appropriate supervisory skills with professional and support staff, student workers and other institutional staff
Stay current with the profession
Successfully interact with other institutional departments
Organize and express written and verbal thoughts clearly and effectively
Be flexible and understanding of alternative approaches as it relates to adapting to change
Demonstrate a positive attitude while promoting cooperation within the campus community
Represent the University in a professional manner
Influence and encourage staff and students involved with programs to be good citizens and students

Manage confidential information in accordance with applicable education laws
Build relations and establish collaborative partnerships
Act independently, take initiative and exercise sound judgment
Work evenings and weekends, as needed
Excellent attention to detail, strong problem-solving skills


Minimum Qualifications:
Bachelors degree required.
Minimum of 3 years sport management experience and 5 years of previous increasingly supervisory experience or equivalent.
Previous experience with NCAA rules compliance, preferably on a DIII level.
General intercollegiate athletic experience.


Preferred Qualifications:
Earned Masters Degree or Doctorate Degree


Licenses and Other Requirements:
Valid California drivers license
CPR, First Aid and AED Certified

Indoor and outdoor work environment; driving a vehicle to conduct work; subject to adverse weather conditions; subject to evening, weekend and variable working hours
